Self Service Banner (Formally Web4)
Web4 no more! Do not panic, only the name is changing. Ellucian has not referred to their self-service products as “Web4” for some time. With the launch of the new website on May 22, 2017, the references to Web4 will be replaced with “Self-Service.” Please make sure that any of your materials referring students and employees to this system are revised to reflect the change.
Employee Email Spam
Using your Coconino.edu employee email to create accounts on third party sites? Doing so introduces commercial email traffic to our domain, raising the potential for spam and phishing attempts, thus making it a security risk. Please replace those with a personal email address. The college provided email is subject to open records requests and other laws and regulations and is for college use only.
WebEx Conferencing Tool
We are testing a web conferencing tool, WebEx, so if you have a need to conduct a webinar with external individuals, contact the Help Desk to arrange for a trial. It was most recently used during an Instructional Technology Committee meeting to connect with Jim Hunter and share the computer screen simultaneously.
Global Employee Password Reset Completed
Many thanks for your patience and cooperation with regards to our global password reset on March 2nd. The Help Desk were busy helping some individuals, but overall it was a very smooth transition to new passwords. Keep in mind that your password will expire every 180 days. We will only schedule a global reset if warranted for cyber security reasons. You are also always welcome to change your password more frequently!

Global Password Reset Coming February 28th
Given the recent Exchange (employee) email phishing attempts, with one in particular targeted specifically at Coconino with our graphics and logo, it has been determined by ITS that we are due for a global password reset. While passwords do expire now every 180 days from their last reset, the global reset will ensure that all passwords are up to date now. This way, any compromised accounts will be identified and dealt with as appropriate, and provide some confidence that all user accounts are up to date and secure.
The global password reset will work this way:
On the specified date, a flag will be set in all user accounts that require resetting of the password upon login. This means you will be prompted for your old password and a new password that conforms to our password requirements. You’ll be able to change your password by either logging into Webmail or logging into a computer on campus. Both of these will give you a prompt to change your password. If you contact the help desk, or come by the help desk they will be able to set a temporary password, but you will be required to change your password by using one of the options stated.

The date established for the global password reset is the morning of Tuesday, February 28th; please mark your calendar! This date was established upon consultation with College Council as it provides time for communicating the reset while avoiding dates near Spring Break. ITS very much appreciate your cooperation and understanding.

Digital Signage
You may have noticed some new digital signage, such as at the Welcome Center, near the pedestrian entrance by Building One, and replacing older digital displays in their current locations. This is the beginning of a managed digital signage solution for Lone Tree and Fourth Street, and eventually Page locations. Dan Begay will manage the technology, and is the contact person should you have content for the displays or questions about how the system works.

Track-IT Tickets and Spring 2017 ITS Survey Results:
28 IT work orders were completed last week; 4 being closed within the hour; 7 new orders opened.
In our Fall 2017 Help Desk Survey, 97% of students responding (n=56) reported that they received help in a timely manner during their last request for assistance.
In the same survey, 100% of employees (n=70) reported that they received help in a timely manner during their last request for assistance.

Introducing Office 365:
Microsoft Office 365 with ProPlus (free downloads of MS Office to your home computers) is now available to employees. With this you will be able to self-register for Office 365, as well as download Microsoft Office 2016 on up to 5 personal devices for free.
If you wish to participate please go to Microsoft and self-register on the Office 365 registration page with your CCC employee email. Once you are registered you will get an email from Microsoft with a link to allow you to login to your Office 365 portal. Note this is only available for employees at this time. Student access will be provided at a later date.
For instructions on how to create an account and download Office 2016, visit our instructions page on the CCC website.
Please allow for 1-2 business days for ITS to add the Professional Plus Office to your account, at which point you will have access to the same Office products you have on campus on your personal devices free of charge.
Safe Emailing:
The dangers of spam email continue. If unsure, don’t click! If you are unsure of an email, contact the Help Desk. If you inadvertently clicked a link in one of these emails, it is imperative that you contact the Help Desk immediately (928-226-4357). Viruses and malicious code could be installed and be propagated across the College network. This is a great risk to our systems and our data, and ultimately our students and employees.
