206.1           GRANTS PROCEDURE

 

206.1.1            PURPOSE

To ensure that the process of seeking grants helps to fulfill the strategic goals of the College and that appropriate input, review, and approvals be attained.

 

1.                    Initiator contacts supervisor/department chair upon planning to apply for a grant.

2.                    Initiator identifies potential funding sources that meet strategic goals and needs of the college.

3.                    Initiator selects appropriate path to pursue. (See flow chart in Grants Management Handbook, K-drive.)

4.                    Initiator completes Grant Proposal form and routes for signatures.

5.                    Vice president for Academic Affairs forwards the Grant Proposal form to the President’s Advisory Council Work session for review and recommendation The PAC Work chair forwards a copy of the proposal to the president.

6.                    Initiator follows procedures as outlined in the Grants Management Handbook (K drive). Grants manager will convene the Grants Review Committee at the appropriate time to assist.  Stakeholders are appropriately involved.  Initiator proceeds with preparing the grant proposal and budget and consults with the Grants Accountant.

7.                    Grant Manager and Vice President of Academic Affairs review final grant proposal.  Grants Accountant reviews final budget and makes recommendation to Vice President of Business and Administrative Services.

8.                    Initiator completes Administrative Recommendation of Grant form, attaches it to final grant proposal, and routes for signatures.

9.                    President signs final grant proposal.

10.                 Initiator submits the final grant proposal to the funding agency.

11.                 Final grant proposal is relayed to the District Governing Board at its next meeting as an informational item via the Vice President of Academic Affairs.

12.                 Grant awards shall be reported to and be subject to ratification via an Action Item by the District Governing Board.
