141.1 WEB SITE PROCEDURE
141.1.1 INTRODUCTION
The following procedures have been developed to ensure that the College website is maintained in an orderly fashion. The purpose of the College website is to provide an easy to use, and yet elegant, interface to all available web resources. A user starting at the home page should ideally need no more than three “clicks” or links to find any information that they are seeking.
Web technology has been compared to traditional mediums of communication, including newspapers; television, and radio, but web technology is unique in that it offers an interactive means of communicating with other people. In addition, web technology offers innovative educational forums, including interactive discussion groups, electronic bulletin boards, searchable libraries, on-line quizzes/tests, learning assistance, Disability Resources information, Information Resources information, and study guides.
Important differences between the Web and traditional media are:
1. Web pages are easily maintained. Web documents have no final form but, instead, represent a time slice in a process of continuous development.
2. Web pages are interactive. They allow direct access to information and enable the user to interact with that information.
141.1.2 WEB PAGE HOMEPAGE PROCEDURES
All web pages on CCC web servers must follow institutional guidelines to ensure accuracy, consistency, and quality in the portrayal of the image of the College. Those developing web pages should adhere to the following guidelines:
1. Abide by the Family Educational Rights and Privacy Act, Americans with Disabilities Act (ADA), Section 508 of the Rehabilitation Act, all US copyright laws, College policies and procedures, and local, state, and federal laws. Commercial advertisements or use of departmental and personal homepages in a commercial manner is strictly prohibited. For more information on appropriate use relating to these issues, see the Electronic Media Procedure 140.1.
2. Departmental web pages require approval of the administrator for that area. Linking the College home page directly to the departmental web page requires approval from the administrator for that area and the Web Steering Committee.
3. Examine data on their web page(s) periodically to check for problems in content, appearance, or accessibility. Analysis programs on the College web server will provide reports relating to visitor statistics, dead links, and access times.
4. Keep data up to date and remove it when it becomes obsolete. (There are additional resources not on the College web server that are available for saving archived material.)
5. CCC web pages are subject to review by the Public Relations and Publications Offices and the Web Steering Committee.
6. Adhere to all College and operational procedures. These guidelines cover templates for developing web pages, including discussions on bandwidth, text alternatives, image use and design suggestions. For information on supported web technologies and/or web site design, please consult the CCC Web Development Operational Guidelines.
7. The following elements are required on the top page of an official department, organization, or other page linked directly or indirectly to the CCC home page. Exemptions may be granted to faculty or staff developing personal or course-related pages as needed for instructional requirements or academic freedom.
A. The unmodified CCC logo from the College's official on-line source;
B. The name of the College, division, and/or department with the title on all subsequent pages;
C. The name and e-mail address of the departmental contact person(s);
D. The official College banner and drop down menus;
E. As necessary, recognition of Copyright for sources of data external to the College;
F. As necessary, recognition of Copyright notices for material internal to the College based on current college policy and practice;

2. The Coconino Community College Web site does not intend to be an exhaustive source of all information, policies or procedures regarding CCC. Anyone who is interested should look at official publications such as Governing Board policies, student handbooks, etc., for complete information.
3. Information found on the Coconino Community College Web Site is provided by many different people. While we try to keep it accurate and up-to-date, we cannot guarantee that it always will be. If you see something in a CCC web page that should be corrected or updated, send mail to the address on the document (or to webmaster@coconino.edu, if the document is unsigned). Be sure to give the full URL of the document in your message.
8. Departments/divisions desiring their own web pages accessible through the College web site should appoint a permanent staff member (not a student) to act as the contact person and to be responsible for the content and maintenance of the web pages. This contact person will also be responsible for monitoring the related e-mail account to ensure that inquiries regarding the content are answered in a timely manner. When a person has been identified, the appropriate administrative supervisor will notify Information Technology Services (ITS) for web account setup and training. ITS will maintain a current list of web developers and e-mail contact persons for all departments.
141.1.3 CCC WEB DEVELOPMENT
Any requests for exceptions shall be made in writing to the Web Steering Committee Chair who will review the request with the committee, make a recommendation, and, with the support of the Vice President for Business and Administrative Services, forward it to the President for action.
141.1.4 COPYRIGHT INFORMATION
All materials stored on the CCC Web site(s) must adhere to the Publications and Royalty Policy 305 and existing College copyright practice/policy. All College web pages shall have the appropriate copyright statement and be linked to CCC's Copyright Notice page. All web pages that directly contain independently created scholarly/creative works or non-College copyrighted documents and/or images must have the appropriate copyrights attached to the pages.
141.1.5 ABUSE OR IRRESPONSIBLE USE OF THE WEB SITE
Use of this web resource in an irresponsible or illegal manner is impermissible. Please reference the procedures on Electronic Media 140.1 for definitions of system misuse, the responsibilities of the College and the individual and possible consequences for abuse of web resources.
141.1.6 APPROPRIATE ELECTRONIC COMMUNICATIONS
Just as with face-to-face communications, some things are inappropriate. Profane, suggestive, or abusive language or messages are not appropriate and those who post such language/messages will be subject to disciplinary action, up to and including termination or expulsion from CCC (Refer to Electronic Media procedure 140.1).
141.1.7 GENERAL WEB PAGE DEVELOPMENT GUIDELINES
Web pages developed for inclusion on the CCC Web site(s) should be designed to be universally accessible, meaning that the pages should be viewable by as many types of browsers and operating systems as possible to ensure compatibility with assistive technologies.
