Writer's Checklist
- Identify potential sources of funding that meet strategic goals and meet the
needs of your college/center and department (Grants Alerts, Federal Register,
content field publications, conferences, etc.).
- Request RFP/Application from funding agency and read from cover to cover to
be sure you understand everything that is involved.
- Alert your Supervisor/Department Chair, if you are planning on applying for
a grant. (Be sure to follow any grants procedures established by the college.
Refer to Board Policy #206 concerning seeking external funds.) Complete the CCC
Grant Proposal form in the Grants Folder on the K-drive and obtain all needed
signatures.
- Contact Grants Manager to seek consultant support and information for development
of grant (e.g. programmatic, fiscal, planning, etc.) Grants Manager will call
a meeting of the Grants Review Committee as needed.
- Develop a timetable for the planning and preparation of grant. (Aim to be
ready for signatures at least a week before the due date to allow yourself adequate
time for the last minute things that always seem to go wrong. For large grant
applications, try to have a reasonably good draft done at least two to three
weeks before the deadline.)
- Contact funding agency to introduce yourself, get clarification on RFP:
- Percent of applications awarded
- Partial awards if any
- Who do they typically fund
- Request or collect data, resumes, letters of commitment/support and other
pertinent information needed to plan, support, and write the grant. Consider
how partnerships can add strength to your proposal.
- Prepare grant, budget, and appropriate attachments or appendices.
- Get feedback before finalizing! Ask colleagues and administrators. Ask the
Grants Manager to convene the Grants Review Committee to review the draft narrative
and budget, and provide you with suggestions for improvement. Ask the Grants
Manager for technical assistance if you need it.
- Finalize your proposal and attachments. (To facilitate the signature process,
you are strongly encouraged to consult with the Grants Manager about the availability
of the President so that signature time can be scheduled.)
- Hand deliver finalized copy of the proposal and Administrative Recommendation
of Grant Application form to Grants Manager for final review and signatures.
- Duplicate and personally mail the application. (Pay close attention to what
the grant says about the deadline. For grants that must be in the funding source's
hands on the due date, it is advisable to use overnight mail delivery with return
receipt requested 3-4 days in advance of the deadline. Even Federal Express packages
do not always get to their destination when they are supposed to, so allow some
extra time.)
